What is personal data?
Personal data means any information relating to an identified or identifiable individual. This includes information that identifies a person directly, such as a name or email address, and information that may identify them indirectly when combined with other information. It can include contact details, professional history, identification data and online identifiers.
What personal data we collect
We collect personal data about candidates, client contacts and supplier contacts where this is necessary for our business.
- Candidates: contact details, CV information, employment history, qualifications, right to work information, references and, where relevant, remuneration details.
- Client contacts: name, job title, company details, business contact information and information relevant to the delivery of our search and advisory services.
- Website enquiries: what you choose to send through our contact form: your name, email address, company, the role you are hiring for and your message.
Where we get your personal data from
We obtain personal data directly from you, for example when you contact us through this website, send us a CV, speak with us or attend an event. We may also obtain it from publicly available sources and professional networks, including LinkedIn, company websites, industry publications and events. In some cases we may receive your details from referees or other third parties where this is relevant to a search.
How and why we use your personal data
We use personal data to reply to enquiries, provide executive search and talent advisory services, assess suitability for roles, communicate with candidates and client contacts, and maintain our business relationships. We may also use it to keep in touch about relevant opportunities and to research market trends, always in line with applicable data protection law.
Where we store your personal data
Personal data about candidates and client contacts is held on specialist recruitment CRM systems, including systems hosted in the UK, so that our consultants can provide our services. Website enquiries are delivered to us by the providers that host this website and process its contact form. Where we use third-party service providers, we make sure appropriate safeguards are in place.
How we protect personal data
We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or disclosure. Our security arrangements are reviewed regularly.
How long we keep your personal data
We keep personal data only for as long as is necessary for the purposes set out in this notice, or to meet legal, regulatory or contractual obligations. The period depends on the nature of the data, the stage of a search, and whether there is an ongoing legitimate reason to keep it. We delete or anonymise personal data when it is no longer required.
Who we share your personal data with
We may share personal data with clients, service providers, suppliers and subcontractors where this is necessary to provide our services or to comply with the law. For candidates, this will include sharing relevant information with clients considering them for a role. For client contacts, this may include sharing contact details with candidates during a search. We do not sell personal data.
Our legal basis for using your personal data
We rely on the lawful basis that best fits the type of processing and our relationship with you. For most of our search activity this is our legitimate interests, although in some cases processing may be necessary for a contract, a legal obligation or, where required, your consent. Where we rely on legitimate interests, we carry out a balancing test to make sure our interests do not override your rights and freedoms.
If you do not provide personal data, or ask us to stop
If you do not provide the personal data we need, we may be unable to provide our services to you. Where we rely on consent, you may withdraw it at any time. Where we rely on legitimate interests, you have the right to object and we will stop unless we can demonstrate compelling legitimate grounds to continue.
Automated decisions
We do not make decisions about you solely by automated means. We use technology, including AI-assisted research tools, to search, sort and organise information using criteria set by our team, but a person is always involved in every recruitment decision.
Cookies
This website does not use advertising or analytics cookies, and we do not track your visit. Our web fonts are delivered by Google Fonts, which receives your IP address so it can send the fonts to your browser. If we add analytics or other non-essential cookies in future, we will ask for your consent first and update this notice.
Transfers outside the UK and EEA
We may transfer personal data outside the UK or EEA where this is necessary to provide our services, for example where candidates or client contacts are based in other countries. Where a transfer is not covered by an adequacy decision, we use appropriate safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, with any additional protections required.
Your rights
You have rights over your personal data, including the right of access, rectification, erasure, restriction, objection and, in certain circumstances, data portability. Where we process your data on the basis of consent, you may withdraw it at any time. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, although we would appreciate the chance to resolve your concern first.
How we may contact you
We may contact you by phone, email or other appropriate means. If you would prefer us to contact you in a different way, please let us know.
